Bill utilities back fairly — without a spreadsheet ritual.

Capture utility bills, allocate them across units by the method you choose, and post the charges to resident ledgers automatically. RUBS without the monthly math night.

  • Allocation by square footage, occupancy, unit count, or custom split
  • Charges post straight to resident ledgers with clear line items
  • Vacant-unit costs tracked to the property, not silently eaten

What you get

Every claim below is a working screen in the product — open the demo and check.

Utility expense capture (rolling out)

Bill capture — water, sewer, trash, gas, electric, with period and amount coded to the right GL account — is in rollout; the demo shows the full cycle end to end on simulated meter and invoice data.

Allocation methods

Divide by occupied units, all units, square footage, occupant count, or custom ratios per property — whichever your leases specify.

Automatic charge posting

Allocated amounts post to each resident ledger as labeled utility charges in the next billing cycle — collected with rent, followed up by the same Payments AI.

Common-area & vacancy handling

Common-area deductions and vacant-unit shares stay with the property so your recovery numbers stay honest.

Lease-term aware

Move-ins and move-outs prorate; a resident who left mid-period pays their share, not the next resident’s.

Recovery reporting

Billed vs. recovered by property and period — the number that tells you whether your utility program is working.

Common questions from operators

Is RUBS legal in my area?
RUBS legality and disclosure requirements vary by state and city — confirm with local counsel and your lease language. StayLeased executes whatever method your leases lawfully specify, identically every month.
Can different properties use different methods?
Yes — allocation method, common-area deductions, and admin fees are configured per property.
What about submetered units?
Submetered charges can be entered per unit and post the same way; RUBS handles the properties (or meters) where true submetering isn’t practical.
